CONFERENCE GUIDELINES

A conference formally gathers researchers, professionals, and students to present and discuss research findings, industry developments, and academic advancements. To ensure high-quality and impactful conferences, all proposed conferences must adhere to the following guidelines:

Conference Themes and Objectives

1. The proposed conference must align with the strategic goals of SUE and contribute to academic and societal development.
2. Themes should address emerging trends, innovative research, and interdisciplinary collaboration.
3. The conference should support national and international academic priorities in research and education.

Committees and Responsibilities

Scientific committee: ensures the academic quality of the conference by reviewing submissions, selecting papers, and maintaining research integrity.
Organizing committee: manages the logistics, sponsorship, marketing, and coordination.
Technical committee: handles the technical setup, including online platforms, audiovisual arrangements, and proceedings publication.

Conference Planning and Logistics

1. Depending on the scope and target audience, conferences may be in-person, virtual, or hybrid.
2. The application must include proposed dates, duration, and venue within SUE or an affiliated partner institution.
3. SUE supports technical arrangements, live streaming, and international access for international participation.

Call for Papers and Peer Review

1. Conference organizers should issue a Call for Papers (CFP) at least 6-12 months before the event.
2. All submissions must go through a double-blind peer review process to ensure academic integrity.
3. Accepted papers should be published in conference proceedings, indexed journals, or institutional repositories.

Conference Outcomes and Documentation

1. A final report summarizing key discussions, findings, and participant feedback must be submitted to SUE.
2. Conference papers, presentations, and videos should be archived for future reference.
3. Organizers must submit a post-event impact assessment to measure success.

Sponsorship and Financial Support

11. Organizing departments are encouraged to seek sponsorships from academic institutions, industries, and funding agencies.
2. SUE may provide partial financial support for approved conferences.

Keynote Speakers and Panel Discussions

1. Conferences must feature keynote speeches by renowned experts from academia and industry.
2. Panel discussions should include diverse perspectives from researchers, policymakers, and practitioners.

Conference Registration and Participation

1. Organizers must provide clear guidelines for participant registration (free or fee-based).
2. International participants should be given remote access options.

To apply for a conference at SUE, departments or colleges must submit a detailed proposal through the website. The proposal must include the following:

8. Names and positions of the scientific, organizing, and technical Members.
9. Contact details of the conference chair/lead organizer.

Program Structure

10. Draft schedule of sessions (keynote speeches, panel discussions, research presentations).
11. Tentative list of invited speakers and panelists.
